This Privacy Policy explains how Aimpact IT LLC ("Aimpact IT", "we", "us") collects, uses, and protects information when you visit aimpactit.com, contact us, or use our services. Our core commitment is simple: we will never sell, share, or misuse your data or your customers' data.
1. Who this covers
This policy covers visitors to our website, people who contact us or our chat assistant, and our clients. When we operate services for a client (for example, a website form, chatbot, or phone assistant that captures leads), we handle that client's customer data on the client's behalf and only to run those services.
2. Information we collect
- Information you give us: your name, business name, email, phone number, and the details of your inquiry when you fill out a form, chat with our assistant, book a call, or become a client.
- Client operating data: the business information and account access we need to build and run your services (for example, hosting, email, and workspace settings).
- Data we process for clients: the leads and messages captured by a client's website form, chatbot, or voice assistant, which we route to that client.
- Automatic data: basic technical information such as IP address, browser type, and pages viewed, collected through standard web logs and analytics to keep the site secure and working.
We do not collect or store full payment card numbers. Card payments are processed securely by Stripe.
3. How we use information
- To respond to you, provide quotes, and deliver the services you engage us for.
- To operate, secure, maintain, and improve websites, automations, and assistants we manage.
- To process payments and manage subscriptions.
- To send service-related messages (for example, lead alerts, billing notices, and important updates).
- To comply with our legal obligations.
4. We do not sell your data
We do not sell, rent, or trade personal information. We do not use your data, or your customers' data, for any purpose other than operating the services you have engaged us for.
5. Service providers we use
We share information only with trusted providers that help us deliver our services, and only as needed for that purpose. These may include:
- Google Workspace (email, documents, storage)
- Stripe (payment processing)
- Twilio (SMS and voice)
- OpenAI (AI chat and voice assistant responses)
- Netlify and Cloudflare (website hosting and delivery)
- Airtable and our automation host, n8n (lead routing and records)
Each provider handles data under its own terms and security commitments. We may also disclose information if required by law.
6. How long we keep it
We keep information for as long as needed to provide our services and to meet legal, tax, and record-keeping requirements. Records of subscription consent and billing are retained for at least the period required by applicable law. When data is no longer needed, we delete or de-identify it. Clients may request deletion of their data as described below.
7. How we protect it
We use reasonable administrative and technical safeguards, including least-privilege access, secrets kept out of code, and reputable hosted platforms. No method of transmission or storage is completely secure, but we work to protect your information and to respond quickly if an issue arises.
8. Your choices and rights
You can ask us to access, correct, or delete the personal information we hold about you, and you can opt out of non-essential messages at any time. Depending on where you live, you may have additional rights under your local privacy laws. To make a request, email support@aimpactit.com. For data we process on behalf of a client, please contact that client directly; we will support them in responding.
9. Cookies and analytics
Our website uses minimal cookies and standard analytics to keep the site working and understand general usage. You can control cookies through your browser settings.
10. Children
Our services are for businesses and adults. We do not knowingly collect personal information from children under 13.
11. Changes to this policy
We may update this policy from time to time. The current version, with its version number and effective date, always lives on this page. For material changes, we will take reasonable steps to notify affected clients.
